Executive Assistant (m/f/d)
Your new challenges which will inspire you:
You assist the Board Member in his daily activity, and in this context, you:
- proactively plan for and execute at the Board Member administrative needs
- maintain the Board Member’s calendar by planning and scheduling local and international
meetings, conferences, teleconferences and preparing meeting agendas - provide proactive administrative support in reviewing, prioritizing and responding to emails and phone calls
- arrange domestic and international travels for business and private matters
- produce information by translating, formatting and editing text, data and graphics as well as preparing reports
- track important documents for signature in a timely and efficient manner and deliver to appropriate party
- coordinate actions with other Board Members, General Managers and others as assigned by the Board Member
- organize events, meetings or conferences by arranging facilities and caterers, issuing information or invitations and controlling event budget
- management of personal matters on Board Member request
Your profile that convince us:
- Bachelor’s degree preferred, other combinations of education and experience also welcomed
- Minimum 3 years’ experience as Executive Assistant
- Excellent command of German and English – French, Swedish and/or Russian is a plus
- High Proficiency with MS Office (Word, Excel, PowerPoint), especially Outlook
- Strong organizational and time-management skills with the ability to multitask and prioritize tasks
- High customer service mentality and used to working in a dynamic working environment with ad-hoc requests
- Professional discretion and loyalty
- Careful with rules, conscientious, thorough, precise
Your profile that will convince us:
- University degree (MSc, Phd or equivalent) in chemistry/biosciences
- Experience in managing and coordinating projects
- Work experience in pharmaceutical industry in the field of method validation (GMP environment) is a plus
- Basic Project management knowledge or certificate (Level D, CAPM) is a plus
- Willingness to travel due to business trips
- Good knowledge in MS Project and MS Excel
- Excellent English communication skills (oral and written)
- Social skills and presentation skills
- Strong problem solving, organizational and time management skills
- Ability to multitask and a high level of flexibility

The minimum gross wage according to the collective agreement (chemical industry) for your new job is EUR 4.510,84. We strive to adapt your salary to your range of tasks and to your profile, which is why we are ready to pay wages higher than collectively agreed.
